Terms and Conditions

TERMS and CONDITIONS for singles, couples and small groups up to 6 guests.

We do advise that you take out travel insurance to cover any unforeseen events, health issues etc that may happen before your travel. (Terms and condition differ for ‘Early Bird’ and ‘Last Minute’ pay in full rates. Please see bottom of page).

BOOKING your accommodation

We require a 20% deposit to confirm your booking. Once confirmed, all prices are guaranteed as per the confirmation email sent to you. Balances are due 6 weeks before your arrival date unless stated otherwise. Balances not paid will result in the booking being put on hold, the dates opened up on our availability calendars and the eventual loss of any monies already paid to us.
(For reference purposes the deposit payment is 20% of the total amount and the balance payment is 80% of the total amount).

AMENDING your booking

Up to 6 weeks before arrival. Changes to your booking regarding dates, accommodation, duration etc, can be made free of charge for the first change. Further amendments to your booking will incur an administration fee of $100 US per room for each time you change your booking. Dates can be amended up to 2 years from when the booking was first made or up to 18 months from the original travel dates, whichever is the greater and can be left open until you are confident with any new travel plans. All changes are subject to availability and any difference in price. Substantial reductions to your booking will never result in the overall cost being less than the 20% deposit paid.

Within 6 weeks of arrival. Changes to your booking regarding dates, accommodation, duration etc., cannot be made within six weeks of arrival. Reductions in price will not be given for missed nights, late arrivals, changes in season, reduction in group size, moving to cheaper accommodations or reducing the number of nights.

 CANCELLING Your booking

  • Guests cancelling up to 6 weeks before arrival will receive a full refund of any balance payment made (less any bank fees). Deposits will be forfeited.
  • Guests cancelling up to 4 weeks before arrival will receive a refund of 50% of the balance payment (less any bank fees). Deposits will be forfeited.
  • Guests cancelling up to 2 weeks before arrival will receive a refund of 25% of the balance payment (less any bank fees). Deposits will be forfeited.
  • Guests cancelling within 2 weeks of arrival will forfeit both their deposit and balance payment. No refunds will be given.

Security deposits

A security deposit of $1000.00 US may be required for exclusive group bookings of 6 or more guests and this will be automatically added to your balance payment due 12 weeks prior to your arrival date. Security deposits are returned within 24 hours after the group departs (less any bank fees or damages incurred)


TERMS and CONDITIONS for ‘Early Bird’ and ‘Last Minute’ pay in full rates.

We do advise that you take out travel insurance to cover any unforeseen events, health issues etc that may happen before your travel. Our special ‘Early Bird’ and ‘Last Minute’ pay in full rates are our cheapest rates available. These discounted rates are non refundable but if something unforeseen happens, or your travel plans change, you can amend or delay your ‘Early Bird’ booking by up to 18 months from your original travel dates. Please see below. 

  • Early Bird discounts of 10% are available for bookings with arrival dates of more than 8 months.
  • Last Minute discounts of 20% are available for bookings with arrival dates of less than 21 days.

Amendments less than 12 weeks before arrival.

Changes to your booking are not allowed within 12 weeks of arrival.

Cancellation.

If you cancel this booking you will not be refunded any of the payment. You can however amend or delay your ‘Early Bird’ booking. Please see above. Bookings are not transferable to other parties.


Breakages

We reserve the right to charge you for any breakages or damage that occurs while you are here at Tropical Hideaway. We are not concerned with minor breakages such as an occasional dish or glass etc, but where the damage is substantial e.g. appliances, televisions, doors, chairs, mosquito screens, sanitary ware, linens, drinks spilt over soft furnishings etc., you will be liable for the costs in replacing the damaged items. We live on a small island and goods have to be air freighted in from Europe or the USA. Shipping costs are expensive and local import duties are high. Please note our luxury linens and towelling can be seriously damaged by careless use of suntan creams and we would ask that you are especially careful with lotions and creams that you apply to your body. Replacement costs can be several hundred US dollars per room.

Check in – Check out times

Check in time is ​anytime after ​2pm​ on the day of arrival​. Check out time is 10am. These hours can usually be extended (no charge), if there is not a changeover of guests.​

Credit card, Debit card and Bank transfer fees

An additional 3.0% card fee will be applied to all card payments (as charged to us by our bank). International bank transfers will usually incur some charges on-route and any charges or deductions made by the banks will be added to your account. Domestic bank transfers within the same country are usually tariff free.
